We are looking for a reliable, organised, proactive, and team-oriented Part-Time Administrative Assistant to support our growing team and day-to-day operations.
The Role
This is a varied, hands-on administrative role supporting management and team members across different areas of the business.
A collaborative attitude is important to us. The successful candidate should be a strong team player who is willing to support colleagues and contribute wherever reasonably needed to keep operations running smoothly.
Key Responsibilities
Administrative & Office Support
- Handle incoming calls, emails, general enquiries, and reception duties professionally.
- Schedule appointments, coordinate meetings, and assist with calendar management.
- Perform data entry and maintain accurate digital and physical records.
- Prepare, print, scan, copy, bind, file, and organise documents as required.
- Coordinate couriers, incoming/outgoing mail, office supplies, and general office requirements.
- Help maintain a tidy, organised, and professional office environment.
- Welcome clients and guests, prepare meeting rooms, and provide refreshments when required.
Client& Document Support
- Provide professional administrative support to clients, partners, vendors, and other stakeholders.
- Assist with the collection, delivery, and dispatch of documents when required, to e.g. Notary Public, the Singapore Academy of Law, embassies, and other relevant organisations.
- Accompany clients or Nominee Directors to bank appointments when required.
- Prepare, format, organise, and check internal and client documents.
- Handle confidential and sensitive information with appropriate care and discretion.
Team & Management Support
- Provide administrative, telephone, and email support to team members.
- Work collaboratively and assist colleagues with administrative and operational tasks when support is needed.
- Support senior management with reasonable ad-hoc and time-sensitive requests.
- Provide administrative assistance to the General Manager, including occasional reasonable personal administrative tasks when required.
- Assist with special projects, events, client activities, basic research, and marketing-related administration from time to time.
Requirements
- Diploma or equivalent in Business Administration, Office Administration, or a related field is preferred but not mandatory.
- Previous administrative, office support, or similar experience would be an advantage.
- Highly organised, reliable, and detail-oriented with good time-management skills.
- Strong team player with a genuine willingness to support colleagues and contribute to the wider team.
- Proactive, adaptable, and willing to assist with different tasks as reasonably required.
- Able to work independently while remaining responsive to team and business needs.
- Good written and verbal communication skills with a professional and positive attitude.
- Proficient in Microsoft Office (Word, Excel, and PowerPoint); familiarity with CRM systems is an advantage.
- Able to prioritise and work efficiently in a fast-paced environment.
- Trustworthy and discreet when handling confidential information.
Working Hours & Arrangement
- Part-time: approximately 25–30 hours per week
- Monday to Friday, approximately 5–6 hours per day
- Specific working hours can be mutually agreed during the interview.
- On-site position at our centrally located Singapore office.
- Occasional local travel may be required for document deliveries, bank appointments, notarisation/legalisation matters, and other business requirements.
